Hardwood Scope of Work

General Requirements:

Installation contractor (Contractor) shall maintain a professionally staffed, commercial place of business keeping regular hours.

Contractor shall provide all products and materials to complete all work as specified.

Contractor shall provide qualified personnel to perform all work. Contractor’s personnel shall have the proper training, tools, and instructions to perform the required work correctly; be professionally attired or otherwise acceptably presentable; and operate out of suitable vehicles.

Contractor will provide a full-time professional staff to administer and perform warranty, repair, and other customer service work associated with this Scope of Work.

Contractor’s personnel will comply with all project rules and regulations governing work procedures, traffic control and parking, use of water, electrical, and restroom facilities, safety practices, housekeeping requirements, and personal behavior.

Contractor will maintain a communication capability, which provides ready access to contractor’s key personnel and timely exchange of written information.

FAX, voice messaging, pagers, radios, and/or mobile phones are required.

Contractor shall maintain and provide:

Product literature & samples
Written job estimates and price quotes
Written installation standards & procedures
Consumer care & maintenance information
Manufacturer’s warranties
Job history records
Job site inspection reports

Contractor will provide contractor’s own written warranty describing the terms and conditions under which installations and workmanship are guaranteed. Warranties must cover a minimum period of one year from the date of closing.

Special Requirements:

The descriptions contained in this Scope of Work will be complete except for the modifications and/or additions noted here.

Material Specifications

Hardwood material shall be:

The above floor covering products and their wholesale suppliers shall be evaluated by the Contractor, and certified as suitable to meet the project’s requirements for quality, availability, and service support.

All wood transition trim pieces for pre-finished installations shall be those produced by the hardwood flooring manufacturer.

Unfinished wood transition trim pieces shall be of the same hardwood species as the unfinished flooring material. Unfinished carpet transition moldings shall be a one-piece design with a smooth outside radius edge. All metal transition trim pieces shall be similar to other metal flooring trims used on the job.

All products such as adhesives, fasteners, vapor barriers, etc. used for the installation of flooring materials shall be a quality and type approved by the product manufacturer or NOFMA (National Oak Flooring Manufacturers Association).

No un-installed flooring products or materials shall be left overnight on the job site without the express approval of the site manager and his acceptance of responsibility for those products.

Work Procedures:

“All materials and products to be installed shall be delivered and handled on the job site in a manner consistent with the manufacturer’s recommendations and established industry practices. Installers shall possess written work orders detailing the site address, material description and pattern numbers (if applicable), job layout, installation instructions, and all relevant details necessary to confirm the work to be performed at the site.”

A pre-installation job site inspection shall be conducted to confirm floor-covering materials can be properly installed and protected under existing site conditions. Installation will not take place until job site conditions are acceptable or the site manager otherwise authorizes work to proceed.

Additional work required to bring the job site into compliance with proper pre-installed requirements is the responsibility of the site manager.

Installer shall determine moisture content of subfloor panels using an electronic moisture meter such as made by Tramex (concrete) or Protimeter (wood). Readings shall be recorded and filed for future reference.

Installer shall measure the subfloor with a 6 ft. straightedge to verify that subfloor flatness meets the manufacturer’s recommendations. Vertical deviations greater than 3/16″ within a 6′ radius are considered to exceed requirements for proper flooring installation.

Prior to product installation, the following basic site preparation procedures shall be completed:

Scrape and sweep subfloor surfaces to remove incidental dirt, paint, and debris
Re-nail occasional loose subfloor panels, and countersink raised nail heads as required
Undercut door casings and jambs to accommodate proper product installation
Sand flat any raided OSB or plywood subfloor panel joints
Repair minor sub-floor imperfections using a cement based patching compound
Lay 15lb. black felt paper over subfloors prior to naildown installation

Hardwood installation shall follow procedures recommended by the pre-finished flooring manufacturer, or for unfinished flooring
materials, procedures outlined in the NOFMA manual for Installing Hardwood Flooring (10/98)

Performance Standards:

All installations shall be started and completed according to specified schedules.

All installations shall be performed according to methods and procedures as specified by the vinyl manufacturer or established industry standards.

Installation shall not proceed without the written authorization of the site manager if subfloor moisture content measurements are in excess of limits recommended by the material manufacturer, NOFMA, or established industry standards.

Overall appearance of the installation shall be consistent with other installations in the project, and shall meet or exceed manufacturer’s guidelines or accepted industry standards:

Installation shall be visually square with exterior walls
Spacing of adjacent end joints shall be commonly 6 inches or greater
Flooring shall fully extend under door casings and jambs with no visible gaps
Flooring shall be fitted to within 3/8 inch of baseboards and cabinets (except as determined by expansion spacing requirements for ¾” thick products) Flooring shall be fitted to within 3/8 inch of baseboards, which are damaged, or defective
Pre-finished boards shall be consistent manufacturer’s grading standards
Unfinished boards shall be consistent with NOFMA grading standards
For Pre-finished installations, color-matched wood paste shall be used to touch-up chips, holes, splinters, and other misc. imperfections
For pre-finished installations, adhesive can be used on rows typically blind-nailed by hand (usually last 6 rows).
The last one to two rows of a pre-finished installation should not be face-nailed where blind nailing is impossible, instead adhesive should be used.
Cracks between pre-finished boards shall not be common or excessive throughout the installation; random cracks exceeding 1/16″ shall be filled with color-matched wood paste
Hardwood transition points with other types of flooring shall be centered under closed doors or positioned midway in cased openings
Transition trim pieces shall be installed as specified where hardwood flooring abuts another flooring surface or stepdown riser.
Flooring materials shall be securely attached to the sub floor structure with recommended fasteners or adhesives. No flexing of the flooring material relative to the sub floor or other parts of the installation is permitted (floating floor installations excepted). Small hollow-sounding spots occurring randomly under glued-down floors are permitted providing the surrounding installation is secure and not flexing.
Surface of pre-finished flooring shall be cleaned to remove sawdust, adhesive residue, and other debris prior to covering with protective paper.
boards require special handling. They are more susceptible to moisture and so need adhesive for added stability. Full spread adhesive or glue used in stripes on the subfloor can be used in addition to a standard nailing schedule.
Top nail on site finished floors 2-3 rows out; do not use on pre-finished aluminum oxide products. Stairnose, turnboards, cabinet line and rips require adhesive in addition to the nailing schedule for aesthetic and structural reasons.
Racking rule of thumb: stagger end joint a minimum of 6 ” between pieces on adjacent rows, avoid repetitive H joints. Add each additional row of flooring, watching the pattern repeat and offsetting or staggering the end joints at least 6 inches.
Blind nail through the tongue using 2 (15 gauge) staples with 1/2 ” crown. On 2 ¼” flooring, 8-10″ with a minimum of 2″ per board. Should have staples within 1-3″ of the end of each board. 5″ plank floors should use 6″ spacing.

Pre-finished installations shall be neatly covered with protective paper to within 4 inches of baseboards and cabinets (closets, small pantries, under desks, and around toilets are expected).

Only blue masking tape shall be used on pre-finished hardwood surfaces.

All doors, shelving, cabinetry, kick plates, hardware or other attached items removed to facilitate flooring installation shall be put back in their original positions.

All installation cuttings, scraps, boxes, adhesive containers, floor sweeping, and personal trash shall be moved from the job site after work is completed.
